Transition to Digital Logbooks in the Chemical Supply Industry

The Challenges

The company planned to implement a digital, GxP-compliant logbook system for product-related documentation. The project also needed to include system validation. The aim was to digitize all existing paper logbooks and meet both regulatory and internal quality standards.

The Solution

A locally installed instance of Smart Log Book<sup>(c)</sup>—including a database and an IIS server—was implemented. The existing Excel-based logbook list was expanded with fields for role assignment (user, process owner, reviewer, and approver), all managed via Active Directory.

Following a systematic structuring and digital mapping process, test lists were created and validated in accordance with GxP guidelines. After successful testing, including user training and comprehensive documentation, the system was officially released for use.

The Result

All logbooks are now fully digital, GxP-compliant, and revision-safe. Legibility and chronological tracking are guaranteed. Manual processes and media discontinuities were eliminated. Efficiency improved significantly in both time and cost.
